Auto-Transcribe and Summarize Every Client Call With Fireflies

Go to fireflies.ai and sign up.

1. Use your work email if you have one, since it makes calendar sync more reliable
2. Once logged in, navigate to Integrations, then Calendar
3. Connect Google Calendar or Outlook, whichever holds your client meetings. This step is required, since Fireflies uses your calendar to know which meetings to join

What you should see: A confirmation that your calendar is connected, with upcoming meetings starting to appear inside the Fireflies dashboard. Troubleshooting: If meetings don't show up after connecting, double-check that you granted calendar read permissions during the connection step. Some workplace calendars require an admin to approve third-party access first.

Open Settings, then look for Meeting Settings (on some accounts this lives under Settings, then Integrations, then Auto-Join).

1. Toggle on automatic join, sometimes labeled "Auto-Join All Meetings"
2. If you don't want the bot on every single call, look for an option to limit auto-join to meetings that match certain keywords or calendars, and set that instead
3. Save your settings

What you should see: A setting confirming automatic join is active. Your next calendar meeting with a video link should now show a notetaker scheduled to attend. Troubleshooting: If the bot doesn't join a call, confirm the meeting actually has a Zoom, Meet, or Teams link attached in the calendar invite. Fireflies needs a conferencing link to know where to show up.

Before relying on it for a client call, test it on something low-stakes.

1. Schedule a short call with yourself or a colleague using a conferencing link
2. Watch for the notetaker bot (often named "Fred" or "Notetaker") to join automatically a minute or two into the call
3. After the call ends, check the Fireflies dashboard for the transcript and summary, usually ready within a few minutes

What you should see: A full transcript, a short AI-generated summary, and a list of action items pulled from the conversation.

If you use a CRM or project management tool, check Fireflies' Integrations page for a direct connection.

1. Go to Integrations and look for your CRM or task tool
2. Connect it following the on-screen prompts
3. Once connected, call summaries and action items can push directly into that tool instead of sitting only in Fireflies

What you should see: A confirmation the integration is active, and a test summary appearing in the connected tool after your next call.

Before your first real client call with the bot enabled, mention it.

1. Send a short note or say it at the top of the call: "I use an AI notetaker to transcribe our calls so nothing gets missed, let me know if you'd rather I turn it off for this one"
2. Respect a client's request to disable it for sensitive conversations by removing that specific meeting from auto-join or pausing the bot manually before the call starts

What you should see: No visible change on your end, but you've now covered the disclosure step that protects both you and the client.
