What This Builds
Fireflies already transcribes your client calls and pulls out action items, but someone still has to open that summary and copy each item into a project board by hand. This chains the two together: the moment Fireflies flags an action item, it becomes a task in ClickUp, assigned and ready, with nobody retyping a single word. Across a week of back-to-back client calls, that's several small copy-paste sessions removed entirely.
Prerequisites
- Comfortable using Fireflies to transcribe and summarize client calls already (see the Level 3 guide referenced above)
- A Fireflies plan that includes integrations, check Fireflies' own pricing page for which tier includes this
- A ClickUp workspace the client already uses, or one you manage on their behalf
- A Zapier account, needed if you want conditional routing logic beyond Fireflies' native ClickUp integration

The Concept
Think of a meeting scribe who does more than take notes. The moment someone says "I'll follow up on the contract by Friday," this scribe writes it on a labeled card and hands it directly to the right person's inbox, no meeting recap email required. That's what this automation does with a call transcript: it watches for action items and turns each one into a task, sitting in the right list, the moment the call ends.
A client call can include anything said out loud, account numbers, a customer's complaint, financial figures, with no human reviewing it before it flows through Fireflies, Zapier, and ClickUp. Check your client's confidentiality clause before turning this on for calls where sensitive details are likely to come up, and if a call is going to cover something like login credentials or payment details, pause the transcription for that portion rather than letting it feed the automation.
Build It Step by Step
Part 1: Choose native integration or Zapier
- If you manage one client's calls and one ClickUp list, Fireflies' own ClickUp integration (found in Fireflies' integrations settings) can send action items directly without Zapier, and it's the simpler path.
- If you juggle several clients with separate ClickUp workspaces and need to route each call's tasks to the right one automatically, build the Zapier version below instead. It gives you the filtering logic the native integration doesn't.
Part 2: Build the Zapier version
- In Zapier, click Create Zap and search for Fireflies as the trigger app. Choose the trigger for a new action item or new meeting summary.
- Connect your Fireflies account and pull in a sample from a recent call to see what fields are available (meeting title, action item text, assignee name if Fireflies detected one, call date).
- Add a Filter step if you handle multiple clients: only continue if the meeting title contains a specific client name or project code, so client A's tasks never land in client B's workspace.
- Add a ClickUp action for Create Task, and connect the account.
- Map the fields: the action item text becomes the task name, the call date and title go into the task description, and the specific List or Folder is chosen manually per client rather than mapped dynamically, since Fireflies won't know which client's ClickUp space to target on its own.
- For assignee, map Fireflies' detected name if it's reliably present, otherwise default every new task to yourself for a quick daily triage and reassignment.
Part 3: Test and confirm accuracy
- Run the Zap on a real recent call and open the resulting ClickUp task next to the actual Fireflies transcript.
- Confirm the action item text matches what was actually said, not a loosely related sentence Fireflies flagged as one.
- Publish the Zap once a handful of test tasks come through clean.
Real Example: Three Clients, Three ClickUp Workspaces
Setup: You handle calls for three clients, each with a separate ClickUp workspace. The Zap filters by meeting title (each call is titled with the client's name) and routes accordingly.
Input: A call titled "Riverside Realty. Weekly Check-in" ends, and Fireflies flags: "Send the updated listing photos to the marketing team by Wednesday."
Output: Within a minute, a new ClickUp task appears in the Riverside Realty workspace: "Send updated listing photos to marketing team," due Wednesday, assigned to you for triage.
Time saved: What used to mean opening the Fireflies summary after each call and manually re-typing three or four action items per client, several times a week, now happens without you opening the summary at all unless something looks off.
What to Do When It Breaks
- Tasks stop appearing and nobody notices for a week → This runs unattended after every call, so a quiet failure is easy to miss until a client asks where a promised follow-up went. Check Zap History weekly, and consider a simple end-of-week count: does the number of new ClickUp tasks roughly match the number of calls you had?
- Tasks land in the wrong client's workspace → The filter's keyword match is too loose. Tighten it to an exact phrase match on the meeting title rather than a partial one.
- Fireflies flags something as an action item that wasn't really one → Transcription-based action item detection isn't perfect; it sometimes catches a passing comment as a commitment. Review the first two weeks of auto-created tasks against the actual call before trusting the pipeline unattended.
- Assignee mapping is empty or wrong on every task → Fireflies only detects an assignee name when it's spoken clearly and matched to a known participant. Default to assigning yourself and reassigning manually rather than relying on automatic name detection.
Variations
- Simpler version: Use Fireflies' native ClickUp integration for a single client and skip Zapier entirely, accepting less control over routing.
- Extended version: Add a second Zap step that posts a daily digest of that day's auto-created tasks to a messaging channel, so you get one scannable summary instead of checking ClickUp directly.
