What This Does

Categorizing transactions and reconciling accounts is manual, error-prone work that eats real hours without being most VAs' core specialty. QuickBooks Online's AI-powered banking page suggests a match or category for each incoming bank transaction based on the client's history, so the job shifts from categorizing from scratch to a quick approve-or-correct pass.

Before You Start

  • You have access to the client's QuickBooks Online account with at least the permission level needed to review bank transactions
  • The client's bank or credit card account is already connected in QuickBooks. AI suggestions only appear once transactions are flowing in
  • You know which QuickBooks Online plan the client has, since exactly which AI features show up on the banking page can vary by plan

Steps

1. Find the AI feature

Open the client's QuickBooks Online account and go to the Bank Transactions page (sometimes called Banking in the left menu). Pending transactions load in a table. Any row with an AI-generated suggestion shows a small "Suggested by AI" icon next to it, along with a confidence badge that flags whether the suggestion looks safe to accept or needs a closer look.

2. Tell it what you need

There is no prompt to type here. QuickBooks generates suggestions automatically from the transaction's bank description and the client's past categorization history. Your job is to fill in the From/To column for vendors and customers whenever you can. QuickBooks uses that field to sharpen future suggestions for similar transactions.

3. Review and use the result

Select a transaction row to expand it and see the suggested match or category plus the reasoning behind it. A "top suggestion" is already filled into the category field for you. A "Consider" suggestion shows alternatives you have to pick manually. Accept the suggestion if it matches what you would have chosen by hand, or correct it if not. QuickBooks learns from every correction, so the accuracy improves the longer you use it on that account.

Real Example

Scenario: A week of transactions comes in for an e-commerce client's shared business checking account, mixing supplier payments, Shopify payouts, and recurring software subscriptions.

What you type/do: Open Bank Transactions, sort by the Suggested by AI icon, and select each flagged row one at a time.

What you get: A Shopify payout is pre-filled with the category the client always uses for that vendor, along with a confidence badge marked safe to accept. A one-off contractor payment shows a "Consider" suggestion with two possible categories instead of an auto-filled one, since QuickBooks has no matching history for that payee yet.

Tips

  • Sort or filter the Bank Transactions table by AI-suggested rows first, then clear those before tackling the transactions with no suggestion at all
  • Do not blindly accept every top suggestion on a new client's account. spend the first week or two verifying against their chart of accounts until you trust the pattern it has learned
  • If a category keeps coming back wrong for the same recurring vendor, fix it once with a rule instead of correcting it every week

Client financial and transaction data is sensitive by definition. Before pulling data into or out of QuickBooks, confirm what the client's accounting policy allows a VA to access, export, or discuss outside their books, and never paste raw bank statements or account numbers into an unrelated chatbot to get a second opinion on a category.

To verify a categorization you are unsure about, check it against the client's chart of accounts or ask their bookkeeper or accountant rather than guessing from the transaction description alone.
