Turn Task Notes Into Client SOPs With Notion AI

What This Does
SOP writing sits at only 5 percent of a typical VA's week, yet skipping it is the top reason clients end up re-explaining the same instructions months later. Notion AI turns the rough notes you already take while doing a task into a formatted, numbered SOP inside the client's own workspace, so the write-up happens in minutes instead of getting pushed to "later."
Before You Start
- You have a Notion account with AI enabled. This requires the Notion Plus, Business, or Enterprise plan with the AI add-on. Check by opening any page and looking for a sparkle icon in the bottom right corner. If it is missing, ask whoever owns the workspace to confirm the AI add-on is active.
- You are working inside the client's Notion workspace, not a personal one, so the SOP lives where their next hire could find it
- You have rough notes, even messy ones, from actually doing the task once
Steps
1. Find the AI feature
Open the client's Notion workspace and either hit Search in the sidebar and type your question, or open the specific page where the SOP should live and click the sparkle icon in the bottom right. You can also press Cmd+Shift+K on a Mac or Ctrl+Shift+K on Windows to open Ask AI from anywhere in the workspace. On any existing block of notes, click the six-dot menu next to it and choose Ask AI to work on that block specifically.
2. Tell it what you need
On a new page titled with the task name, paste your rough notes and prompt: "Turn these notes into a numbered SOP with a title, purpose, tools needed, and step-by-step instructions someone unfamiliar with the task could follow: [paste notes]." Be specific about the audience. An SOP written for a future hire needs more detail than one written as a personal reminder.
3. Review and use the result
Read every step against what you actually did. Notion AI is good at organizing and formatting but cannot know the parts you left out of your notes, so fill in any missing screenshots, tool names, or login locations by hand. Save the finished page in the client's SOP or process folder, not a personal draft space, so it is where they expect to find it.
Real Example
Scenario: A VA who posts to three client social accounts every week has never written this up, so a new hire would need it explained live each time.
What you type/do: On a fresh Notion page, paste five bullet points covering login steps, caption format, hashtag rules, and posting order, then ask Ask AI: "Turn these notes into a numbered SOP for posting to our three social accounts, written for someone doing this for the first time."
What you get: A formatted page with a Purpose line, a Tools Needed list (the three platform logins and Canva), and eight numbered steps from "Open the content calendar" through "Confirm the post went live and log it in the tracker."
Tips
- Write the SOP the same day you do the task, while the steps are still fresh, rather than trying to reconstruct them from memory a week later
- Ask Notion AI to "add a troubleshooting section for what usually goes wrong" once the main steps are drafted. it catches edge cases you might not think to write down unprompted
- Keep a running index page that links every SOP for a client, so a future hire has one place to start instead of hunting through pages
Client business processes and internal workflow details are exactly what SOPs describe, so before storing one outside the client's own systems, confirm what their contract or AI policy allows a VA to keep in a third-party tool like Notion.
Tool interfaces change. If a button has moved, look for similar AI/magic/smart options in the same menu area.
